Creating and Sending Your Album through the Album Manager

When you create your pages in a third party program, you have the option to upload directly through the Album Manager. This will give you the benefit of allowing your clients to approve the album or book for production as well as viewing it and you may also check out here or make your studio sample purchases from the uploaded events.

Using Album Manager
    1. Log in
    2. Click on the My BRI tab > BRI Family
    3. Select the Album Manager logo from the list
    4. Click Add an Event from the menu to the left
    5. Fill in the Event Date, Event Name, Password (if no password is entered there will not be an option to approve the album online) and click Add
    6. Your album will be listed on the Control Panel
    7. Click Album Set Up beside the event
    8. Then click Add Image
    9. Choose from Add Images and then choose Add Files or Add Folder, (you may need to install Active X), load files and click Send when ready
    10. Once files load, you’ll be asked to confirm the size and indicate any cameo images or photo covers and click Continue
    11. From the Images page, verify the pages are in order correctly and when complete, click Return to Set Up
    12. Click Add Album Or Book
    13. Select the options for the album(s)/book(s) you would like to order
    14. Click Post Event and fill out the required information. The software will walk you through the posting of the album *Note: you’ll be required to enter a credit card, but the card is not being charged at this time, it is being held for when this order is approved.*
    15. The password is optional, but your client will only be able to approve the album if there is a password on the event
    16. Notify your client that the album has been posted for review and approval. Send them to Approve My Album and give them the event name and password
Making Edits through Album Manager

When your clients request a change or you need to add additional pages, you’ll be able to upload the new Pages directly in Album Manager.

    1. Log in
    2. Click on My BRI tab > BRI Family
    3. Select the Album Manager logo from the list
    4. Click Album Setup for the event you want to add pages to
    5. Deactivate the event
    6. Choose from Add Images and then choose Add Files or Add Folder, (you may need to install Active X), load files and click Send when ready
    7. Once files load, you’ll be asked to confirm the size and indicate any cameo images or photo covers and click Continue
    8. From the Images page, remove any pages you want to replace or delete. To do this, click the red arrow under the image. This will move that page out of the album and to the left under Additional Images, (these images are not printed.)
    9. Look for your newly added pages on the left side of the screen. Under the page, click the drop down arrow to choose the page placement and click the insert button. At this point the screen will refresh
    10. When complete, you are ready to post the event again

To change the album or book cover information, you’ll follow the directions below.

    1. Log in
    2. Click on My BRI tab > BRI Family
    3. Select the Album Manager logo from the list
    4. Click Album Setup for the event you want to edit
    5. Deactivate the event
    6. Choose Delete to the right of the cover you need to edit
    7. Click Add Album or Book to add the cover with the corrections
    8. Proceed with posting the event or checking out when complete
Client Experience and Checkout Process with Album Manager Events

Your clients will be able to view these events and if you set the event up with a password, then they will be able to okay it to be sent to production. All events, regardless of password, will give the customers the option to email you.

    1. Once your clients have located the event, they’ll enter the password if you’ve assigned one
    2. Next, they’ll be presented with a flip show
    3. Clients can move to different pages by dragging the page right or left or by using the directional errors beneath the slide show
    4. If your client wants to make changes, they will click the Change My Album button under the slide show which will give them a message window where they can explain the changes they would like and this will be emailed to you, they will now wait to here from you
    5. If the album is OK they will click the "Next" button
    6. This will bring them to another window in which they will need to verify the cover information and click the "Continue" button
    7. The client will then be presented with a warning letting them know if they continue the album will be sent to production and no longer eligible for changes; they will click either "No, I will contact my photographer" or "Yes, Release My Album"
    8. At this point, if they click Yes, we record the name they enter and the IP address from which they released the album. The album is now released and cannot be changed
    9. Once the album is released, you will get an email letting you know the order is being printed and it will include a new order number that follows the album or book through production

You, as the photographer may elect to check out online. This is also the process you’ll use if you’re ordering a studio sample from these events.

    1. Log in
    2. Click on My BRI tab > BRI Family
    3. Select the Album Manager logo from the list
    4. Click Album Setup for the event you want to check out
    5. Deactivate the event if it’s active
    6. Choose Buy Album or Book
    7. Review the pages and click Next
    8. Review the cover and any embossing and click Approve Album
    9. Indicate whether or not this is a studio sample, enter payment information and reference name as well as any promotional codes and when everything is filled in, click Next
    10. Review the order info on the Release Order page and click Next
    11. You’ll be presented with three options. First, you’ll see ‘No, do not begin production on album’, if selected, this will cancel the order and listed next is, ‘Yes, Begin production of my order and do not post for view at Approve My Album which means the order will process but the event will not be available online, and lastly, ‘Yes, Begin production of my order and post for viewing at Approve My Album and with this option, the event will still be viewable, but there will not be an option to approve the order.
    12. You’ll be given a twelve digit web order number online and an email confirmation will be sent within the hour and will provide you with the new order number that will follow the album or book in production
